When to send it — and why the timing is most of the effect

The instinct is to thank a client at the end of the year, along with everyone else. That is the weakest possible moment: it arrives in the same week as every other vendor's card, and it thanks them for nothing in particular.

The thank-yous that get remembered are attached to a specific event — the day a project ships, a renewal signed, a referral that turned into real work, the end of a difficult phase that you both got through. Sent within a few days of the moment, a card is unmistakably about that thing. Sent in December, it is about the calendar.

This is also the argument for sending fewer of them. How to write it without sounding like an invoice

We measured all 1129 example messages in our own writing guides: the average runs 16.7 words and 87% land between 10 and 20 — about two short lines.

Client thank-yous fail in a specific direction: they turn into a summary of the engagement. The reader already knows what the project was. What they don't know is what it was like from your side, and that is the only thing a card can add.

Name the thing, say the true part, stop. "Thank you for trusting us with the rebrand" is the thing; "projects like that one are why we do this work" is the true part. Two sentences, roughly the 16.7-word average our corpus found, and it reads as though a person wrote it between meetings — which is exactly the impression you want.

Two constraints worth respecting. Keep the sales out: a thank-you that pivots to next quarter's scope stops being a thank-you. And keep the gift discreet — the recipient never sees the amount, which matters when a client's own gift policy has a threshold, and lets them accept the gesture without doing arithmetic about it.
